Our process: Accounting Seed implementation
Phase 1: System review and solution design
We begin our work with all augeō clients by a discovery and inspection process. Based on the results, you will be directed either to the technical Salesforce team if adjustments are necessary, or you will start working with the Accounting Seed implementation team immediately.
Together with key stakeholders, we review the Accounting Map to understand the flow of your business and guide how we configure the system. Timelines and milestones are established. Lastly, we work through the Chart of Accounts and determine key GL Variables.
Phase 2: Setup, data preparation, and implementation
We work alongside you during the arduous process of prepping data, building reports and list views, etc. We have tools and processes that can expedite the work. Controllers and transactional accountants are available to augment your team.
Setup includes Cloud installation, creating users, and system configuration. Static data sources (such as customers, vendors, and products) are extracted from current systems, cleaned up, and uploaded. An initial balance sheet and monthly journal entries dating back at least one year are loaded to allow for comparative financials and setting up financial reports.
Phase 3: Training and go-live readiness
After your staff has completed the assigned online training, we will sit with each person/team and review each accounting function. If the Orders & Inventory functionality is used, we will run through the full cycle of ordering, producing, and billing.
Phase 4: Final data migration and cutover
Key detailed data, such as open billings (A/R), payables (A/P), inventory balances and open orders, will be loaded shortly after cutover. Processing of billing and payable transactions begins immediately. We will reconcile all balances at cutover and be available as the first line of support for your staff through the month of transition.
Phase 5: Post-conversion review
The conversion is complete and the dust is settling. Is everything working as you thought it would? Are there gaps that need to be quickly addressed? Have you defined a monthly close process? Where do you track close activities, and the related accounting support? Are there estimates, accruals, revenue recognition issues that need to be addressed to realize true GAAP financials? Do you have specific reporting requirements, such as a bank or board? Are financial dashboards proving useful? These are a few of the post-conversion issues we can help assess and address.
